Participant Journey

Sequential module delivery

Participants progress through Sections 1–7 in order. Each section unlocks only when the previous one is fully completed — enforced both in the UI and on the server.

Video, reading & quiz lessons

Each section contains a mix of embedded videos, structured reading content, and knowledge-check quizzes. Pass marks are configurable per quiz (default 80%).

Retakes allowed

Participants can retake any quiz until they pass. Attempt history is recorded, and all scoring happens server-side so answers cannot be leaked.

Scenario-based decisions

Safeguarding and ethics sections include scenario questions that test real-world judgment — not just factual recall.

Final Sign-Off (Section 7)

Multi-step structured form

Collects personal details, emergency contacts, medical declarations, dietary requirements, flight information, and accommodation — all in one guided flow.

Typed e-signatures

Each declaration (Code of Conduct, Safeguarding Standards, Final Readiness) requires participants to type their full name as a legally-meaningful e-signature.

Version-pinned declarations

The exact version of each policy document is locked at the time of signing — so future policy updates never retroactively change what a participant agreed to.

CSV participant import

Upload your cohort list as a CSV. Basecamp creates accounts, sends magic-link invitations, and enrols each participant automatically.

Flag & clear workflow

Manually flag participants who need review (e.g. sensitive medical disclosures) and mark them as Cleared once resolved. Full audit trail maintained.

CSV & PDF exports

Export the full participant roster with status at any time. Per-participant readiness records are exportable as timestamped PDFs for institutional records.

In-Country Wellbeing

Automated weekly check-ins

During the programme dates, Basecamp automatically creates a wellbeing check-in for every enrolled participant and emails them a unique response link.

Mobile-first response form

Short Likert-scale and free-text prompts, designed for participants on their phones in-country. Responses take under two minutes.

Severity scoring & alerts

Each response is automatically scored. Responses above a concern threshold trigger an immediate email alert to the programme leader.

Reflections

Pre, during, and post reflections

Structured prompts guide participants through reflective writing at three points: before departure, during the programme, and after return.

Configurable deadline reminders

Programme leaders choose when participants are emailed — on open, at multiple points before the deadline, after overdue, and when admins should be alerted.

Searchable & exportable

Programme leaders can review reflections per participant and export them for assessment or institutional reporting purposes.

Multi-Tenancy & Branding

Per-institution spaces

Each university gets its own tenant with complete data isolation. Subdomain routing in MVP (hku.basecampportal.com); custom domains available later.

Row-level security

Multi-tenancy is enforced at the database layer — not just in application code. One institution can never access another's data.

Branded emails

Transactional emails (invitations, reminders, alerts, certificates) carry your institution's name and can be sent from a verified institutional domain.
